How to Choose a CMMS: A Buyer's Checklist Aligned to ISO 55001

A computerized maintenance management system (CMMS) is often the first real step away from spreadsheets and paper work orders. But many teams choose one based on a good demo, then find it doesn't hold the data they need to make decisions.

If your organization is working toward, or already follows, ISO 55001, that gap matters even more. This guide shows you how to choose a CMMS that supports day-to-day maintenance and your asset management system.

What changed in ISO 55001:2024

The second edition of ISO 55001 was published on 3 July 2024. According to the Asset Management Council's companion guide, key updates include:

  • Asset management decision-making (4.5): you must define decision criteria and the methods and tools used to make decisions
  • Strategic Asset Management Plan (6.2.1): the SAMP is now formally required
  • Knowledge management (7.7): organizations must identify, manage and keep current the knowledge they need
  • Predictive action (10.3): a new focus on anticipating how assets will behave, replacing the older preventive action approach

The message is clear. ISO 55001 now expects decisions to be backed by reliable asset data. A CMMS is where most of that data is created.

Step 1: Start with your maintenance maturity

Be honest about where you are today. Most teams sit in one of three stages:

  • Reactive: work orders on paper or WhatsApp, and equipment is fixed when it breaks. You need simple work orders, a mobile app and an asset register.
  • Preventive: scheduled PMs, with some history in spreadsheets. You need PM scheduling, meter-based triggers and spare parts management.
  • Predictive: condition data and reliability analysis. You need IoT/sensor integration, analytics and AI failure prediction.

If you're still reactive, read Why Reactive Maintenance Is Costing More Than You Think. Our free Asset Management Assessment can also help you find your starting point.

Step 2: Check the features that support ISO 55001

Asset register and hierarchy. Every asset should have a unique record with location, criticality, parent-child relationships and documents attached. This is the base for lifecycle decisions.

Work order management. Look for full history per asset, failure codes, labour and parts captured, and photos from the field. Without consistent failure codes, you can't analyze trends.

Preventive and condition-based maintenance. The CMMS should trigger work by time, meter reading or condition. This supports the predictive focus in clause 10.3.

Inventory and spare parts. Link parts to assets and work orders so you can see the true cost of keeping each asset running.

KPIs and reporting. At minimum: MTTR, MTBF, PM compliance, backlog and downtime. These feed the performance evaluation your asset management system needs.

Knowledge capture. Procedures, manuals and technician notes should live with the asset, not in someone's head. This supports clause 7.7.

Step 3: Test the mobile experience

Technicians decide whether a CMMS succeeds. If logging a job takes longer than writing it on paper, data quality drops. During the demo, ask a technician to:

  • Open a work order on a phone
  • Scan an asset tag
  • Record parts used and attach a photo
  • Close the job offline, then sync

Step 4: Plan integrations early

A CMMS rarely works alone. Check how it connects to:

  • ERP for purchasing and cost data
  • IoT sensors and SCADA for condition monitoring
  • Document management for drawings, manuals and SOPs
  • Permit-to-work for safe execution of maintenance tasks

An API-first platform like Fiix makes these connections easier to add over time. Because Fiix is part of Rockwell Automation, it also sits naturally alongside plant-floor automation systems.

Step 5: Compare total cost and time to value

Compare more than subscription fees. Include asset data cleanup, implementation, training and integrations. Ask each vendor how long it takes to go live for one site, and what the first 90 days look like.

CMMS buyer's checklist (ISO 55001 aligned)

☐ Asset register with hierarchy, criticality and attached documents

☐ Standard failure codes and full work history per asset

☐ Time, meter and condition-based PM triggers

☐ Spare parts linked to assets and work orders

☐ MTTR, MTBF, PM compliance and downtime dashboards

☐ Mobile app with offline mode

☐ Integration with ERP, IoT and document management

☐ Audit trail to support decision-making evidence

☐ Clear implementation plan and local support

How EDMS Consultants can help

A CMMS only delivers value when asset data is clean and technicians use it every day. EDMS Consultants helps maintenance and reliability teams across manufacturing, oil and gas, energy and utilities get there. We start with a clear view of your current maturity, then roll out in stages.

Solutions we offer for maintenance and asset management

  • Fiix: a cloud CMMS used by 4,500+ maintenance teams. It covers work orders, preventive maintenance, spare parts and KPI dashboards, with an offline mobile app and AI tools such as the Fiix MAX maintenance assistant. It's part of Rockwell Automation, which acquired Fiix in 2020.
  • Maintwiz: an AI-powered, mobile-first maintenance platform built since 2015. It's hosted on AWS and Azure, with SAP integration, OEE and reliability analytics, and a built-in e-PTW module. It's used by manufacturers such as Apollo Tyres and Asian Paints.
  • M-Files: keeps manuals, drawings, SOPs and inspection records linked to each asset, supporting the knowledge management focus of ISO 55001 (7.7).

How we work with you

  1. Assess. Our free Asset Management Assessment benchmarks your maintenance maturity.
  2. Build the asset register. We help you structure asset hierarchies, criticality and failure codes before go-live.
  3. Implement and integrate. We configure PM schedules and connect the CMMS to ERP, sensors and document management.
  4. Train the field. We train technicians and planners on mobile workflows so data quality holds up.
  5. Improve. We review KPIs with you and help move from preventive to predictive maintenance.

Frequently asked questions

What is a CMMS? A CMMS is software that manages maintenance work, assets, spare parts and maintenance history in one place.

Do I need ISO 55001 certification to use a CMMS? No. But a CMMS set up with ISO 55001 in mind gives you better data and makes certification easier later.

What is the difference between a CMMS and EAM? A CMMS focuses on maintenance execution. Enterprise asset management (EAM) covers the full asset lifecycle, including planning, finance and disposal. Many modern CMMS platforms now cover much of the EAM scope.

How do I move off spreadsheets? Start with critical assets only, clean their data, and roll out work orders first. Read The Spreadsheet Problem for more.
